Job purpose

The administrative assistant works closely with other personnel to help keep our tours run smoothly. This position is responsible for interaction with suppliers (transporters/hotels/restaurants/guides and activity providers) so that tour background logistics is set. Afterwards, assistant monitors tour execution in order to ensure flawless operations.

Also, the assistant may have duties including resolving supplier issues and inspecting venues before tour execution.

Final duty for this position is help with office management, mainly bookkeeping. Throughout their work, they  may be able to provide management with insights to further increase quality of trips.

Duties and responsibilities

  • Booking management (booking confirmation and cancellations, keeping track of all bookings)

  • Performs monitoring of day to day operations (oversees tour execution)

  • Performs administrative duties (book keeping)

  • Quality assurance (inspects venues for accommodation and meals; inspects vehicles)

  • Provides innovative ideas for improving product and service quality

Qualifications, skills and abilities

Education and experience:

  • Min. high school education (Undergraduate degree in Tourism/Hospitality will be considered as advantage)

  • Min. 1 year of work experience (experience in tourism will be considered as advantage)

  • Fluent in spoken and written English (possession of TOEFL/IELTS certification will be considered as advantage)

Skills and abilities:

  • Technical skills (accounting / windows, mail, word and spreadsheet processing)

  • Personal skills (relaxed / focused / punctual / cooperative and approachable / devoted / enthusiastic)

Working conditions, hours and location

Working conditions:

  • Apart from regular office hours, position requires traveling and working outdoors during our summer season (May-October).

  • Dealing with challenging characters is not uncommon

Working hours & location:

  • Working hours in off-season (November-April) are 4 hours on weekdays (weekends are free unless there are urgent situations to be resolved).

  • Working hours in season (May-October) range between 4-8 hours on weekdays (weekends are free unless there are urgent situations to be resolved).

  • Location: Office / home

  • Type of employment: 3 months contract (renewable)

  • Compensation upon mutual agreement

  • Job commencement: 01.09.2018
